ccScan Advanced for SharePoint

ccScan Advanced for SharePoint uses smart processing technology to automate unattended importing of files and nearly hands-free scanning of paper documents. ccScan Advanced features are based on sophisticated technologies such as barcode detection, OCR, and Text Pattern search with Regular Expressions and conditional rules.

Support for Multiple SharePoint Versions

ccScan works with SharePoint 2013, SharePoint Office 365, SharePoint 2010, and SharePoint 2007, so there’s no need to switch or upgrade to another version. It scans and imports directly to SharePoint for a fraction of the cost of most other capture applications with fewer capabilities. ccScan works with any TWAIN scanner, and as there are no per page or high volume premiums, you ultimately save both time and money.

ccScan provides highly efficient features for scanners with a large document feeder. Achieve automatic separation of multi-page documents with barcode pages included with ccScan, or create your own. Each resulting document or attachment will then be uploaded to a specific folder in a SharePoint Document Library or List.

Use the optional OCR Engine with the Standard Edition to manually sweep data into custom columns or fields. With ccScan Advanced Edition, populate custom Columns of document libraries and lists with text automatically taken from selected portions of the scanned image. Permanently redact and annotate the pages of a document before storing on SharePoint.

ccScan provides access to SharePoint Document Library and List settings that are not typically available with networked scanners. In addition to specifying or creating folders in libraries and lists, ccScan supports the following settings, all of which can be applied to scanned or imported files:

  • View on Document Library
  • Document or Attachment Name
  • All Custom Columns defined for a Document Library or List
  • Support for input of nearly all SharePoint Data Types
  • Document name and input fields can be entered explicitly or fully automated through macros and/or barcodes. During the initial job setup, simply select the desired Document Library or List, choose the input fields the user should enter, or select a View to automatically pick a particular set of input fields.

ccScan is ready to go with a set of default jobs as soon as installation is complete. Conveniently customize tasks to process recurring scanning or import jobs with minimal clicks, thereby saving time and reducing the potential for input errors. On a per-job basis, decide which SharePoint Document Library or List, scanner, and import fields the user should enter, set those defaults, and provide details for fields not shown.

ccScan utilizes the widely recognized and compatible PDF (Portable Document Format) parameters. Everyday documents are stored for quick and easy retrieval using the standard PDF format. In order to guarantee future integrity and accessibility, it uses the archive quality PDF/A-1b format for long-term storage.

ccScan Advanced includes an OCR Engine to convert scanned images to PDF with searchable text, while keeping the original document appearance. An optional OCR Engine is available for ccScan Standard.

ccScan provides powerful bulk importing functionality. Using wildcards (search specifications) to select document names and/or file extensions from a local folder, ccScan will automatically search for, identify, and export all applicable files into SharePoint. For example, you may select TIF or GIF files with the letter B in the second filename position by using a wildcard specification of ?B*.?if and enabling Bulk Folder Recursion.

ccScan will navigate all folders below the initial folder and export all files meeting your search specifications. Import any PDF, JPEG, TIF, PNG, BMP or DCX document types, in addition to any other file format accepted by SharePoint.

You’re only as safe as the security that surrounds you, and ccScan takes your online security very seriously. With SharePoint Online, documents and column values are transferred directly from your PC to SharePoint, without first uploading them to any intermediate web servers. Documents are safeguarded with Secure Hypertext Transfer over Secure Sockets Layer (SSL) while transferring to and from the Cloud provider. All jobs are fully protected by password and powerful built-in .Net encryption.

A password-protected setup mode is provided to allow administrators to manage creation and setup of all jobs for users. A daily audit trail is maintained in script-friendly XML or JSON format to keep track of all scanning and import activity.
